Residential Property And Tenancy Manager

Location: Harrogate

Employment: Full Time, Monday to Friday 9:00-17:30 and 1 in 4 Saturdays 09:30-12:30.

Reporting to:  Head of Lettings

Overview

The Residential Property and Tenancy Manager is responsible for managing the end-to-end tenancy process across a portfolio of properties. This role includes conducting inventories, inspections, and checkouts, coordinating repairs and maintenance with contractors, and managing deposit negotiations. The Property and Tenancy Manager acts as the key point of contact for landlords and tenants, ensuring smooth communication and efficient tenancy management throughout the lifecycle of each let.

Responsibilities

  • Conduct detailed inventory reports at the start of tenancies, accurately recording the condition and contents of properties.
  • Carry out routine property inspections to ensure tenant compliance and identify any maintenance issues.
  • Complete checkout inspections at the end of tenancies, comparing findings against original inventories to assess dilapidations or damages.
  • Manage deposit negotiations by liaising between landlords and tenants to reach fair resolutions and, when necessary, prepare evidence for dispute adjudication.
  • Coordinate necessary repairs and maintenance with contractors, ensuring timely and cost-effective resolutions following inspections and checkouts.
  • Maintain up-to-date and accurate records of all property visits, reports, and communications.
  • Provide excellent customer service and act as a key point of contact for tenants and landlords throughout the tenancy period.
  • Ensure compliance with current lettings legislation and industry standards, including deposit protection schemes.
  • Utilise property software applications such as Fixflo and Reapit to streamline processes and improve property management efficiency.
  • Oversee and quality-check maintenance and repair works by visiting properties as needed to ensure standards are met and to gather tenant feedback.
  • Act as a liaison between internal teams, including Front of House Lettings, Maintenance, Admin, and Accounts, to ensure smooth communication and effective coordination throughout tenancy changeovers.
  • Manage own diary efficiently to ensure optimal time management and responsiveness.

The Person

  • Will have proven experience in residential property management or a similar lettings role.
  • Possesses strong knowledge of tenancy legislation, including deposit protection regulations.
  • Has a good understanding of what constitutes fair wear and tear, with proven experience in successfully handling tenant disputes and managing the deposit return process.
  • Has excellent interpersonal, written, and verbal communication skills, with the ability to build and maintain long-lasting professional relationships.
  • Thrives under pressure and is able to meet tight deadlines while maintaining a high standard of work.
  • Brings strong problem-solving skills, with the ability to handle conflict and negotiate diplomatically and fairly when challenges arise.
  • Demonstrates exceptional attention to detail and strong organisational skills.
  • Holds a full UK driving licence.

Overview

We are looking for a motivated Commercial property negotiator to join our busy commercial property agency team. This role is ideal for someone with a strong interest in commercial real estate who is keen to develop their career in property agency.

Previous experience is desirable but not essential — training and support will be provided.

The successful candidate will focus on new instructions, property marketing, client negotiations, and viewings, while also assisting senior surveyors with lease renewals, rent reviews, and property management tasks.

Responsibilities

Commercial Agency

  • Assist with new commercial instructions, including lettings, sales, and acquisitions.
  • Arrange and attend property viewings with prospective tenants and purchasers.
  • Prepare property marketing particulars and coordinate advertising campaigns.
  • Negotiate heads of terms and assist with progressing transactions to completion.
  • Build relationships with landlords, tenants, and investors.

Property Management Support

  • Support senior surveyors with lease renewals, rent reviews, and client reporting.
  • Handle day-to-day tenant and landlord queries where required.
  • Carry out property inspections and assist in ensuring compliance.

Requirements

  • A strong interest in commercial property and real estate.
  • Previous experience in property agency or lettings (residential or commercial) beneficial.

 Commercial Surveyor

Location: Harrogate

Reporting to: Head of Commercial

Overview

We are seeking a Commercial Surveyor to take a role in our growing commercial property team. This position is suited to a professional with a degree in Real Estate or a related field and ideally MRICS/AssocRICS qualified (although this is not mandatory), with proven experience across both agency transactions and asset management.

The role will focus on securing and delivering new commercial property instructions, negotiating deals from instruction through to completion, and advising on lease renewals, rent reviews, and property management matters. Potential for further professional valuation work would also be beneficial but not essential.

Responsibilities

Commercial Agency

  • Take responsibility for new instructions including acquisitions, disposals, lettings, and investment transactions.
  • Prepare marketing strategies, conduct inspections, host viewings, and negotiate lease terms and sales contracts through to completion.
  • Undertake market appraisals and provide professional advice to clients.
  • Build and maintain strong relationships with landlords, occupiers, developers, and investors to drive business growth.

Property Management & Professional Work

  • Manage a range of commercial properties on behalf of clients.
  • Oversee lease events including renewals, rent reviews, and assignments.
  • Ensure compliance with lease covenants and statutory requirements.
  • Provide strategic asset management advice to maximise client returns.
  • Undertake professional red book valuations (beneficial but not essential)

Requirements 

  • Degree in Real Estate, Surveying, or related discipline
  • RICS qualified (ideal but not mandatory)
  • Strong background in commercial property agency and/or management.
  • Excellent negotiation and communication skills.
  • Knowledge of landlord & tenant law and property legislation.
  • IT literate with proficiency in Microsoft Office and property management software.
  • Full UK driving licence.

Lettings Negotiator

Location: Harrogate

Employment: Full Time, Monday to Friday 9:00-17:30 and 1 in 4 Saturdays 09:30-12:30.

Reporting to:  Head of Lettings

Overview

As a Lettings Negotiator, you will be responsible for managing the full lettings process, from property marketing and viewings to tenancy progression, rent reviews and renewals. You will also provide strategic advice to landlords, ensure compliance with current legislation, and act as a key point of contact for both new and existing clients.

We are particularly interested in candidates who are confident engaging with legislation and can help guide both clients and the internal team through the changes introduced by the Renters Rights Bill and other industry developments.

Responsibilities 

  • Act as the first point of contact for all clients, handling walk-ins, calls, and emails professionally while providing a welcoming and knowledgeable front-office experience.
  • Register and qualify new applicants; arrange property viewings, gather feedback, and relay it to landlords promptly.
  • Negotiate tenancy terms and rental offers between tenants and landlords.
  • Progress lets through to move-in, liaising with all relevant parties throughout the process.
  • Complete and verify legal documentation, including Right to Rent and ID checks.
  • Process tenant notices, ensuring all legal procedures are followed.
  • Manage rent increase notices and conduct negotiations in line with market conditions.
  • Coordinate tenancy renewals and consult with landlords to agree the most suitable terms.
  • Maintain accurate tenancy and property records, ensuring internal CRM and databases are consistently up to date.
  • Conduct pre-marketing visits to assess property condition and advise landlords on achievable rents and presentation.
  • Assist with interim property inspections when required.
  • Build and maintain trusted, long-term relationships with landlords and tenants.
  • Provide landlords with clear guidance on legal responsibilities, compliance, and market trends; advise on policy and legislative changes to ensure full alignment with current regulations and internal standards.
  • Proactively generate new landlord instructions by identifying and pursuing opportunities through prospecting, networking, outbound calls, referrals, and targeted follow-ups.
  • Recommend improvements for underperforming properties to maximise letting potential.
  • Support other departments as required during busy periods or staff absences.

 The Person 

  • Proven experience in residential lettings, property consultancy, or a similar client-facing role (preferred)
  • Strong working knowledge of lettings legislation and compliance requirements (ARLA qualification desirable)
  • Confident communicator with excellent verbal, written, and interpersonal skills
  • Skilled in negotiation, with the ability to advise clients clearly on legal, market, and regulatory matters
  • Strong organisational and time-management abilities, with attention to detail
  • Customer-first mindset with a proactive, solutions-oriented, and professional approach
  • Proficient in CRM systems and Microsoft Office applications
  • Holds a full UK driving licence (essential)
