Residential Property And Tenancy Manager

Location: Harrogate

Employment: Full Time, Monday to Friday 9:00-17:30 and 1 in 4 Saturdays 09:30-12:30.

Overview

The Residential Property and Tenancy Manager is responsible for managing the end-to-end tenancy process across a portfolio of properties. This role includes conducting inventories, inspections, and checkouts, coordinating repairs and maintenance with contractors, and managing deposit negotiations. The Property and Tenancy Manager acts as the key point of contact for landlords and tenants, ensuring smooth communication and efficient tenancy management throughout the lifecycle of each let.

Responsibilities

  • Conduct detailed inventory reports at the start of tenancies, accurately recording the condition and contents of properties.
  • Carry out routine property inspections to ensure tenant compliance and identify any maintenance issues.
  • Complete checkout inspections at the end of tenancies, comparing findings against original inventories to assess dilapidations or damages.
  • Manage deposit negotiations by liaising between landlords and tenants to reach fair resolutions and, when necessary, prepare evidence for dispute adjudication.
  • Coordinate necessary repairs and maintenance with contractors, ensuring timely and cost-effective resolutions following inspections and checkouts.
  • Maintain up-to-date and accurate records of all property visits, reports, and communications.
  • Provide excellent customer service and act as a key point of contact for tenants and landlords throughout the tenancy period.
  • Ensure compliance with current lettings legislation and industry standards, including deposit protection schemes.
  • Utilise property software applications such as Fixflo and Reapit to streamline processes and improve property management efficiency.
  • Oversee and quality-check maintenance and repair works by visiting properties as needed to ensure standards are met and to gather tenant feedback.
  • Act as a liaison between internal teams, including Front of House Lettings, Maintenance, Admin, and Accounts, to ensure smooth communication and effective coordination throughout tenancy changeovers.
  • Manage own diary efficiently to ensure optimal time management and responsiveness.

The Person

  • Will have proven experience in residential property management or a similar lettings role.
  • Possesses strong knowledge of tenancy legislation, including deposit protection regulations.
  • Has a good understanding of what constitutes fair wear and tear, with proven experience in successfully handling tenant disputes and managing the deposit return process.
  • Has excellent interpersonal, written, and verbal communication skills, with the ability to build and maintain long-lasting professional relationships.
  • Thrives under pressure and is able to meet tight deadlines while maintaining a high standard of work.
  • Brings strong problem-solving skills, with the ability to handle conflict and negotiate diplomatically and fairly when challenges arise.
  • Demonstrates exceptional attention to detail and strong organisational skills.
  • Holds a full UK driving licence.
