Residential Property And Tenancy Manager

Location: Harrogate

Employment: Full Time, Monday to Friday 9:00-17:30 and 1 in 4 Saturdays 09:30-12:30.

Reporting to:  Head of Lettings

Overview

The Residential Property and Tenancy Manager is responsible for managing the end-to-end tenancy process across a portfolio of properties. This role includes conducting inventories, inspections, and checkouts, coordinating repairs and maintenance with contractors, and managing deposit negotiations. The Property and Tenancy Manager acts as the key point of contact for landlords and tenants, ensuring smooth communication and efficient tenancy management throughout the lifecycle of each let.

Responsibilities

  • Conduct detailed inventory reports at the start of tenancies, accurately recording the condition and contents of properties.
  • Carry out routine property inspections to ensure tenant compliance and identify any maintenance issues.
  • Complete checkout inspections at the end of tenancies, comparing findings against original inventories to assess dilapidations or damages.
  • Manage deposit negotiations by liaising between landlords and tenants to reach fair resolutions and, when necessary, prepare evidence for dispute adjudication.
  • Coordinate necessary repairs and maintenance with contractors, ensuring timely and cost-effective resolutions following inspections and checkouts.
  • Maintain up-to-date and accurate records of all property visits, reports, and communications.
  • Provide excellent customer service and act as a key point of contact for tenants and landlords throughout the tenancy period.
  • Ensure compliance with current lettings legislation and industry standards, including deposit protection schemes.
  • Utilise property software applications such as Fixflo and Reapit to streamline processes and improve property management efficiency.
  • Oversee and quality-check maintenance and repair works by visiting properties as needed to ensure standards are met and to gather tenant feedback.
  • Act as a liaison between internal teams, including Front of House Lettings, Maintenance, Admin, and Accounts, to ensure smooth communication and effective coordination throughout tenancy changeovers.
  • Manage own diary efficiently to ensure optimal time management and responsiveness.

The Person

  • Will have proven experience in residential property management or a similar lettings role.
  • Possesses strong knowledge of tenancy legislation, including deposit protection regulations.
  • Has a good understanding of what constitutes fair wear and tear, with proven experience in successfully handling tenant disputes and managing the deposit return process.
  • Has excellent interpersonal, written, and verbal communication skills, with the ability to build and maintain long-lasting professional relationships.
  • Thrives under pressure and is able to meet tight deadlines while maintaining a high standard of work.
  • Brings strong problem-solving skills, with the ability to handle conflict and negotiate diplomatically and fairly when challenges arise.
  • Demonstrates exceptional attention to detail and strong organisational skills.
  • Holds a full UK driving licence.

Maintenance Manager

 

Location: Harrogate

Reporting to:  Head of Lettings

Overview

The Maintenance Manager is responsible for overseeing maintenance and compliance across all company divisions - Residential Lettings, Commercial Management, and Residential & Commercial Sales. This role includes leading a team of three Maintenance Coordinators, ensuring the department operates efficiently, managing contractor scheduling, and maintaining clear communication with Landlords and Tenants.

Responsibilities

Maintenance Operations

  • Co-ordinating all repairs and maintenance for up to 1,000 residential and ever-increasing commercial portfolio properties.
  • Respond promptly to maintenance requests from Tenants and Landlords.
  • Instruct and follow up with Contractors, ensuring all are properly qualified to perform work on the property, with up-to-date insurance and indemnity coverage, renewed annually as required.
  • Effectively utilise property software applications such as Fixflo, Reapit, and Re-Leased to streamline processes and enhance the efficiency of property management operations.
  • Deal with inspection, inventory and check-out feedback from colleagues and rectification works.
  • Perform property inspections as required.
  • Ensure all legal compliance requirements are met within the correct timescales.
  • Process invoices and liaise with the Accounts Team to ensure all third parties are paid promptly.
  • Carry out project management works involving the full refurbishment of properties.
  • Quality control, sign-off works, visit properties to check and gain feedback from Tenants.

The Person 

  • The ideal candidate will have experience in property maintenance or a related field, with at least 1-2 years in a supervisory role.
  • Excellent interpersonal and communication skills, with the ability to build long-lasting positive relationships.
  • Ability to work efficiently under pressure and meet tight deadlines while maintaining high-quality standards.
  • The candidate must possess strong problem-solving skills to effectively address and resolve challenges as they arise.
  • Attention to detail, with strong organisational skills.
  • Proven track record in managing projects on cost and timeline.
  • Full UK driving licence required

Finance Manager

Overview

The Finance Manager will play a hands-on leadership role in managing all accounting functions, maintaining financial integrity, and supporting strategic decision-making. The role includes leading a small, efficient finance team and working closely with the Partners of the Business to ensure compliance, accuracy, and efficiency across all financial processes.

Responsibilities

Office Accounts

  • Manage all aspects of company accounting using Sage 50 Accounts software.
  • Oversee the purchase ledger, sales ledger, petty cash, and daily bank reconciliations.
  • Administer supplier payments and customer receipts accurately and efficiently.
  • Prepare monthly management accounts and financial reports.
  • Handle VAT returns and ensure timely submission to HMRC (when required).
  • Manage payroll via Sage Pay, including PAYE, pension, and HMRC updates (when required).
  • Lead month-end and year-end closing procedures, including account reconciliations.
  • Conduct budgeting and forecasting, monitoring variances and advising on improvements.
  • Maintain oversight of aged debtors and implement effective credit control.
  • Ensure full compliance with accounting standards and company financial policies.

 Financial Reporting & Analysis

  • Produce accurate and timely management information for senior leadership.
  • Support audits and liaise with external accountants when required.
  • Maintain strong internal financial controls and ensure compliance with statutory requirements.
  • Oversee auction-related accounts including deposits, fees, and apportionments to solicitors.

Client Account Management (supported by team members)

  • Manage client accounts for over 1,000 managed properties using bespoke software.
  • Oversee landlord and contractor payments, tenant deposits, and reconciliation processes.
  • Ensure all client monies are handled in accordance with RICS and client money regulations.
  • Resolve financial queries promptly and professionally.

Additional Responsibilities

  • Support partners with ad hoc financial tasks, projects, and analysis as required.
  • Contribute to continuous process improvement across the Accounts Department.

The Person

  • Qualified or part-qualified Accountant (ACCA/CIMA/AAT) or equivalent experience.
  • Proven experience in finance or accounts management, ideally within a property or professional services environment.
  • Proficiency in Sage 50 Accounts and strong Excel skills.
  • Excellent communication, organisation, and leadership skills.
  • A proactive, hands-on approach and ability to manage competing priorities.
